Privacy Policy

The Colorado Hispanic Bar Association (“CHBA,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit or use our website, member portal, forms, event registration tools, job board, mailing lists, and other online services that link to this Privacy Policy (collectively, the “Services”).

By accessing or using the Services, you acknowledge the practices described in this Privacy Policy.

1. Who We Are

CHBA is a Colorado nonprofit organization dedicated to the advancement of Hispanics in the legal profession and improving the life of the Hispanic community in Colorado.

2. Scope of This Privacy Policy

This Privacy Policy applies to personal information collected through the Services, including when you:

  • visit our website;
  • create or use a member account;
  • apply for or renew membership;
  • register for events;
  • make donations or sponsorship payments;
  • submit forms or inquiries;
  • sign up for email communications;
  • post or manage job listings; or
  • otherwise communicate with us through the Services.

This Privacy Policy does not apply to third-party websites, platforms, applications, or services that may be linked from, embedded in, or integrated with the Services. Those third parties have their own privacy practices and policies.

3. Personal Information We Collect

Depending on how you interact with the Services, we may collect the following categories of personal information:

Information You Provide Directly

We may collect information you voluntarily provide to us, including:

  • name;
  • email address;
  • phone number;
  • mailing address;
  • employer, law firm, organization, title, or professional affiliation;
  • bar or membership-related information;
  • account login credentials;
  • event registration information;
  • sponsorship, donation, or payment-related information;
  • job board posting information;
  • communications you send to us; and
  • any other information you choose to provide through forms, surveys, applications, emails, or similar features.

Payment Information

If you make a payment, donation, sponsorship payment, or membership payment through the Services, payment information may be collected and processed by our third-party payment processor. We may receive limited transaction details, such as confirmation of payment, amount, date, and related contact information, but we do not store full payment card numbers unless expressly stated at the point of collection.

Information Collected Automatically

When you use the Services, we or our service providers may automatically collect limited technical and device information, such as:

  • IP address;
  • browser type;
  • device type;
  • operating system;
  • referring URLs;
  • pages viewed;
  • date and time of access; and
  • basic server log information.

We collect this information to operate, secure, troubleshoot, maintain, and improve the functionality of the Services.

4. Cookies and Similar Technologies

We use cookies and similar technologies for legitimate operational purposes. These technologies may be used to:

  • keep the website functioning properly;
  • maintain session and login functionality;
  • support member portal access;
  • process forms and requests;
  • protect the Services against spam, bots, abuse, and fraudulent activity;
  • support security features such as CAPTCHA or reCAPTCHA; and
  • remember certain technical preferences where necessary for site operation.

We may also use or rely on third-party tools, plugins, embedded content, hosting features, security services, or similar website functionality that set cookies or process limited technical information as part of providing website features or maintaining site security and performance.

CHBA does not intentionally use website tracking technologies for targeted advertising, cross-site behavioral advertising, or profiling through the Services. However, certain third-party tools, plugins, or embedded features may process limited technical information in accordance with their own privacy practices and may not be entirely within CHBA’s control.

Most browsers allow you to control cookies through browser settings. Please note that disabling cookies or similar technologies may cause parts of the Services not to function properly.

5. CAPTCHA, Form Protection, and Security Tools

To protect the Services from spam, abuse, and automated misuse, we may use CAPTCHA, reCAPTCHA, or similar security tools on forms and interactive features. These tools may collect or receive information such as IP address, device or browser information, mouse movements, keystroke patterns, and other information needed to determine whether an interaction is being initiated by a human or automated system.

By using forms protected by these tools, you acknowledge that information may be processed by the provider of the security service in accordance with that provider’s own terms and privacy practices.

6. Email Communications and Mailing Lists

If you sign up for our mailing list, newsletters, event updates, or other communications, we may use a third-party email service provider to manage and deliver those messages.

In connection with these communications, we may collect or receive information such as:

  • your name and email address;
  • subscription preferences;
  • records showing whether an email was delivered, opened, or clicked, to the extent supported or enabled by the email platform; and
  • related communication history.

We use this information to send organizational updates, newsletters, event announcements, membership communications, sponsorship information, and related messages.

You may unsubscribe from non-transactional email communications by using the unsubscribe link included in the message or by contacting us at admin@chba.net. We may still send administrative or transactional messages related to membership, events, donations, sponsorships, payments, security, or your relationship with CHBA.

7. Embedded Videos and Third-Party Content

The Services may include embedded videos or other third-party content, including content hosted on platforms such as YouTube. When you view or interact with embedded content, the third-party provider may collect information about your interaction, device, browser, IP address, or cookies in accordance with its own privacy practices.

We are not responsible for the privacy practices of third-party platforms, and you should review their policies if you interact with their content.

8. Website Plugins, Integrations, and Optional Tools

The Services may use or rely on third-party plugins, integrations, hosting features, security tools, embedded content, or similar website functionality provided by outside vendors. In some cases, these features may automatically collect or process limited technical information, such as IP address, browser type, device information, referral data, or cookie information, as part of providing their services or enabling website features.

CHBA does not intentionally use the Services for targeted advertising, cross-site behavioral advertising, or profiling through website tracking technologies. However, certain third-party features or website tools may process technical information under their own privacy practices and may not be fully within CHBA’s control. CHBA may update this Privacy Policy from time to time to reflect changes in website functionality, service providers, or data practices.

9. How We Use Personal Information

We may use personal information for the following purposes:

  • to provide, operate, maintain, and improve the Services;
  • to create, administer, and maintain member accounts and profiles;
  • to process memberships, renewals, event registrations, job postings, donations, sponsorships, and payments;
  • to respond to inquiries, requests, and communications;
  • to send newsletters, updates, event announcements, and other communications;
  • to administer programs, events, and member benefits;
  • to detect, investigate, prevent, and address fraud, spam, abuse, security incidents, and other harmful or unauthorized activity;
  • to troubleshoot technical issues and maintain the functionality of the Services;
  • to comply with legal obligations, resolve disputes, and enforce our policies, terms, and rights; and
  • for any other purpose disclosed at the time of collection or with your consent.

10. How We Share Personal Information

We do not sell your personal information for money.

We may disclose personal information in the following circumstances:

Service Providers

We may share information with vendors, contractors, consultants, and service providers that perform services on our behalf, such as website hosting, email delivery, payment processing, event administration, spam prevention, security monitoring, member portal management, and similar support functions.

Organizational Operations

We may share information internally with CHBA personnel, board members, committee members, volunteers, or representatives who need access to perform legitimate organizational functions, subject to appropriate confidentiality expectations.

Legal Compliance and Protection

We may disclose personal information when we believe in good faith that disclosure is necessary to:

  • comply with applicable law, regulation, court order, subpoena, or legal process;
  • respond to lawful requests by public authorities;
  • enforce our agreements, policies, and terms;
  • protect the rights, property, safety, or security of CHBA, our members, website users, or others; or

Business or Organizational Transfers

If CHBA undergoes a reorganization, merger, transfer of assets, or similar transaction, personal information may be transferred as part of that process, subject to applicable law.

With Your Direction or Consent

We may disclose information for any other purpose disclosed at the time you provide the information or with your consent.

11. Public or Member-Visible Areas

Certain parts of the Services, such as member directories, profiles, job postings, event listings, or similar community features, may allow information to be visible to members or the public depending on the feature and settings in use.

Any information you choose to post or make available through those features may be visible to others and should be considered public or semi-public depending on the context. Please use care in deciding what information to share.

12. Retention of Personal Information

We retain personal information for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, including to:

  • maintain and operate the Services;
  • manage membership and organizational records;
  • comply with legal, tax, accounting, and reporting obligations;
  • resolve disputes; and
  • protect against fraud, abuse, and security risks.

Retention periods may vary depending on the nature of the information and the reason it was collected.

13. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

No method of transmitting or storing information over the internet is completely secure. As a result, we cannot guarantee absolute security.

14. Children’s Privacy

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the Services. If you believe we have collected personal information from a child under 13, please contact us at admin@chba.net so we can review and address the issue.

15. Your Choices

You may have the following choices regarding your information:

  • You may choose not to provide certain information, though some features of the Services may not function properly as a result.
  • You may manage cookies through your browser settings, subject to the note above that disabling cookies may impair functionality.
  • You may unsubscribe from non-transactional email communications using the unsubscribe link in the email or by contacting us.
  • You may contact us to request updates or corrections to certain account or membership information, subject to verification and applicable limitations.

16. State Privacy Rights

Depending on your state of residence and applicable law, you may have certain rights regarding your personal information, which may include the right to:

  • know whether we process your personal information;
  • request access to personal information we maintain about you;
  • request correction of inaccurate personal information;
  • request deletion of personal information, subject to exceptions;
  • obtain a copy of certain personal information in a portable format, where applicable; and
  • appeal a decision we make regarding a privacy rights request, where required by applicable law.

We may need to verify your identity before processing your request. We may also deny or limit requests where permitted or required by law.

At this time, CHBA does not intentionally use personal information collected through the Services for targeted advertising, does not sell personal information for money, and does not knowingly process personal information for profiling in furtherance of decisions that produce legal or similarly significant effects on individuals through the Services.

17. Third-Party Websites and Services

The Services may contain links to or integrations with third-party websites, platforms, or services, including payment processors, video providers, email platforms, social media platforms, plugins, hosting providers, and other external tools. We are not responsible for the privacy, security, or content practices of those third parties. Your interactions with those services are governed by their own terms and privacy policies.

18. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and revise the “Last Updated” date above. Your continued use of the Services after changes are posted means you acknowledge the updated Privacy Policy, to the extent permitted by law.
